Section 2

Privacy Policy

Last updated: 16 June 2025

1. Who We Are

actifegroup.com is a personal health and fitness logging platform. When this policy refers to "we", "us", or "our", it means actifegroup.com. This policy explains what personal data we collect, why we collect it, and what rights you have over it.

2. Data We Collect

We collect the following categories of data when you use the Service:

  • Account data: your name, email address, and password (stored as a one-way hash)
  • Profile data: date of birth, height, weight, goal weight, and sex — entered voluntarily by you
  • Activity data: any activities, food, hydration, sleep, and weight entries you log
  • Technical data: your last login timestamp and account creation date
  • Integration data: if you connect Google Health, we store an access token and the connection details — not your raw health records

3. How We Use Your Data

We use your data solely to provide and improve the Service:

  • To authenticate you and keep your account secure
  • To display your logged data back to you
  • To send transactional emails (password changes, account deletion notices, inactivity warnings)
  • To enforce our data retention policy

We do not sell your data, share it with advertisers, or use it for any purpose beyond operating the Service.

4. Legal Basis for Processing (GDPR)

For users in the UK and EEA, we process your data under the following legal bases:

  • Contract: processing your account and profile data is necessary to provide the Service
  • Legitimate interests: security monitoring and abuse prevention
  • Consent: connecting third-party integrations such as Google Health

5. Data Retention

We keep your data for as long as your account is active. Accounts with no activity for 18 months will receive a warning email. If no action is taken, the account and all associated data will be permanently deleted at 24 months of inactivity.

You can delete your account at any time from the Privacy tab in your account settings. Deletion is subject to a 7-day grace period during which you can cancel the request.

6. Your Rights

Under UK GDPR and the Data Protection Act 2018, you have the right to:

  • Access — request a copy of the data we hold about you (use the Export feature in your account Privacy tab)
  • Rectification — correct inaccurate data (update it directly in your Profile tab)
  • Erasure — request deletion of your account and data (available in your account Privacy tab)
  • Restriction — request that we limit processing of your data in certain circumstances
  • Portability — receive your data in a portable format (HTML or CSV export in your account Privacy tab)
  • Object — object to processing based on legitimate interests

To exercise any right not covered by the self-service options above, contact us at the address below. We will respond within 30 days.

7. Security

We take reasonable technical measures to protect your data, including password hashing, CSRF protection, and optional two-factor authentication. No system is completely secure; if you believe your account has been compromised, change your password immediately via the Security tab.

8. Third Parties

We use the following third-party services in operating actifegroup.com:

  • Cybrancee / Plesk — web hosting and server infrastructure
  • Google Health API — optional fitness data integration (only if you choose to connect it)

Each third party has its own privacy policy governing how it handles data.

9. Changes to This Policy

We may update this policy from time to time. The "Last updated" date at the top of this section will reflect the most recent revision. Continued use of the Service after changes are posted constitutes acceptance.
